Contract Renewal and Assignments

Single On-Campus Housing

Renew Contract

BYU–Hawaii on-campus housing operates on a semesterly contract system. Residents who wish to remain in on-campus housing and are eligible for the following semester may apply during Renew Contract Month, which is the first month of the semester, to secure housing and avoid application fees.

  • Residents graduating at the end of the semester should not renew.
  • Residents going on an internship or Leave of Absence for the following semester should not renew.

How to Renew Hale Contract

Assignment

New students will select a room during the Room Selection period. If they do not select a room on their own, a room will be assigned for them.

Current residents will automatically be booked in the same room for the following semester if they renew. They can select a new room during the Change Room Period, after renewing.

How to Select a Room

Room Changes and Transfers

Residents may change their bed space through approved processes based on availability. Unapproved room changes are not permitted and may jeopardize their housing contract.

Mid-semester transfers take place during the same semester. Residents should visit the Housing office for assistance in selecting a bed space and scheduling a transfer. For detailed instructions, residents should refer to the provided guide. Mid-semester transfers are closed for the week of future room selection period.

Room Changes for Upcoming Semester: After securing a contract for an upcoming semester, residents may select a new room through the Housing Portal during the room selection period.

Current residents who have selected a different bed space will be able to transfer to their new room during the designated transfer day at the end of the semester. Current resident dates can be found on the Housing calendar.

Transfer Moving Process

Before the scheduled transfer time, the resident must clean the previous bed space to clean-check standards and remove all personal items, including food. The mattress cover must be taken to the new assignment; if not, a replacement will be provided and a fee charged.

At the scheduled time, the resident must report to the Housing Office to finalize the transfer. Access to the previous bed space will be deactivated, and access to the new bed space will be issued.

Failure to clean properly, leaving items behind, or causing unreported damage may result in charges. New assignments will be in “as is” condition, including normal wear and tear.

Room Swap

Residents who agree to swap rooms may request a swap through the Housing Portal. Residents of the same gender and room eligibility may swap bedspaces for the same contract period. Approval is required before transferring. Unapproved room swaps are not permitted and may jeopardize their housing contract. For detailed instructions, residents should refer to the provided guide.

Internships

Students on a university approved on-island internship are eligible to remain in the Hales. Students on an off-island internship are not permitted to hold a Hale contract and should apply for housing prior to their return.

Contract Extension

Residents participating in a university-approved internship or residents who are getting married and require transitional housing between semesters may be eligible to live in the hales based on availability. Students should contact the Housing Operations Office for more information.

Accommodations

Resident health and safety are a priority. Any accommodation related to a disability must be requested through the BYU–Hawaii Disability Services Office by submitting the required form. Medical documentation must be provided for review.
